Winter Rental/Deposit Policies

For winter- At the time of booking, 50% of the total reservation amount is due. The first night is a non-refundable deposit upon confirmation. The final payment is due 60 days prior to arrival. At that time the reservation in its entirety is non-refundable.
Please note that for all bookings a valid credit card is required for incidentals, and a non-refundable 3% processing fee applies to all transactions paid and/or refunded to a credit card.

The first night of the booking is non-refundable upon confirmation. The remainder of the reservation is non-refundable 60 days prior to arrival, except for bookings arriving Dec 16-Jan 5, final payment is due no later than 90 days from Arrival date and at that point the entire reservation is nonrefundable. If booked after that date, 100% of the rental cost will be due at the time of booking. Total rental costs are due upon booking on reservations made within 60 days of arrival.

Note: A non-refundable Accidental Rental Damage Insurance is charged at the time you place a reservation, which will relieve you of costs for minor unintentional and incidental damage to the property and its contents. This does NOT cover intentional damage or gross negligence. All rental amounts paid in advance shall each be held in a non-segregated Escrow Account by Exclusive Rentals LLC and no interest shall be paid on any returned funds.

Winter Cancellations

Cancellations made more than 60 days before arrival are subject to a full refund of deposits less the amount of a one-night stay, any damage insurance, and booking fees. 100% of the total rental funds received are non-refundable on cancellations made within 60 days before arrival except holiday bookings, in which 100% of the total rental cost will be charged on cancellations made within 90 days of your arrival. Partial or pro-rated refunds are not available in cases of weather, lack of snow, poor skiing conditions, health issues, or transportation delays. We strongly recommend you obtain “Travel Insurance,” which we offer on our website. A full or partial refund may be granted at the sole discretion of Exclusive Vail Rentals based on the recovery of lost rent through re-booking.

Summer Deposit Policies

For summer bookings, 100% of the total rental cost is due at 60 days before arrival. For a month or longer stays, the first 2 nights are non refundable. The final payment is due 90 days before arrival for month or longer stays. Total rental costs are due upon booking with reservations made within 90 days.

Most of the above information applies except 100% of the total rental cost will be charged on cancellations made less than 90 days before arrival. For 30 nights or more stays the first 2 nights are non refundable . Partial or pro-rated refunds are not available for weather etc. the same as above. for the longer stays of 30 or more nights the first 2 nights of the stay is Non Refundable.

Damage Deposit Information

Exclusive Vail Rentals will offer only “Security Deposit Waivers” instead of collecting a security deposit that can tie up your vacation funds. On some of the homes, there will be an extra “Security Deposit” needed in addition to the damage waiver insurance fee. The plans are guided by the terms and conditions of Red Sky’s security damage waiver policies.

Travel Insurance Information

Exclusive Vail Rentals has partnered with Red Sky Travel Insurance to provide Ski Trip Preserver® coverage for our guests. Ski Trip Preserver provides cancellation and interruption services as well as emergency assistance and travel services. Protecting your trip includes covering yourself for unfortunate occurrences like:

  • Illness or injury before and during your trip
  • Travel delays from weather
  • Job loss or transfer
  • Lack of snow
  • Lost or stolen ski pass

By purchasing this coverage, you can protect yourself against cancellation penalties, medical costs, baggage loss and delays, and more.

Insurance Disclosure

This is a brief description of the insurance benefits and travel services provided. Insurance is underwritten by Arch Insurance Company (a Missouri corporation, NAIC #11150) with executive offices located in New York, NY, and is currently authorized to transact business in all 50 states and the District of Columbia. Not all insurance products or coverage are available in all jurisdictions. Coverage is subject to actual policy language.

Minimum Stays & Late Check-outs

A minimum night stay may be required on reservations made during certain periods. The minimum nights may be reduced for an additional early check-out charge. Late check-outs must be approved in advance by Exclusive Vail Rentals. An additional “late check-out fee” will be assessed.

Housekeeping Services

All stays will be charged a one-time check-out housekeeping fee that will range from $250- $950. Stays of 10 or more nights will receive a complimentary mid-week clean. Daily or additional housekeeping service is available to the guest at an additional charge. No requested cleans will be scheduled on Sundays or Holidays.

Additional Person Charges

Each home has an occupancy level based on actual bedding and is listed in the home description. A violation of those occupancy levels will result in charges of $350 per extra person per night. Assumption of Risks

There are risks inherent in and associated with the use of any property, including the rental property, which may include risks of injury to a person or property or death. Certain risks may be more likely to occur in high-altitude locales with severe climates, such as where the rental property is located. Call the rental company immediately if there is any matter about which you are uncertain or which you believe may present an unreasonable risk to you. Risks that may be inherent to the rental property and the location in which it is located may include, without limitation: wet, slippery, or icy conditions both inside and out; falling snow or ice; being in proximity of, or use of, a swimming pool, bathtub or hot tub including without limitation risks of, drowning, heart attack, stroke or reactions to the pool or cleaning chemicals; allergic or other reaction to cleaning or “freshening” products; allergic or other reaction to man-made and synthetic materials; actions of third parties not under the control of the property manager or unit owner; theft of, or damage to, personal property; electric shock or other injuries in the use, or misuse, of any electric appliance or mechanical device; risk of injury in the use of garbage disposals, trash compactors, steam showers, saunas, and other similar appliances. Pregnant females (or women who suspect they may be pregnant) may be subject to certain risks and should consult a physician before using a hot tub or spa. Alcohol and other state-altering substances should not be used in or around a pool, hot tub, bathtub, or sauna. By clicking below you assume these risks, whether enumerated or not, known or unknown, on your behalf and behalf of any person under any legal incapacity for whom you may be responsible.

Limitation of Liability

The rental agent’s liability shall in no event exceed the amount of the rental payment received regardless of the kind or extent of the injury, cause thereof, claim, or legal theory advanced. The owner’s liability shall in no event exceed the lesser of the rental payment received or the liability insurance then in place regardless of the kind or extent of the injury, cause thereof, claim, or legal theory advanced. Renter agrees to the foregoing and waives all right to claim damages above the foregoing amounts and agrees to be limited for all purposes to such amounts.

Special Policies

Smoking is not permitted in any residence. A deodorizing fee may be charged if smoking in the unit is detected. Pets are not allowed in any residence. All applicable charges for each unit are displayed when you make your online reservation or use the online “Book Now” or quote feature.

Accidental Rental Damage Insurance

In some cases, Exclusive Vail Rentals will only offer “Accidental Rental Damage Insurance” instead of collecting a damage deposit which can tie up your vacation funds. In other properties, a refundable security deposit will be charged. The plans are guided by the terms and conditions of Red Sky Travel Insurance Rental Damage Insurance policies.

The Accidental Rental Damage Insurance (ARDI)

Covers the guest for accidental damage caused to the property up to a maximum of either $1,500, $5000, or $10,000 based on the unit the guest rents. The ARDI does not cover intentional or malicious damage to the property or injury to persons. Guests will be billed for all applicable damage if management, in its reasonable discretion, determines that damages were intentionally, willfully, or maliciously caused. Furthermore, guests must notify management in the event of damage within 48 hours of its occurrence and fill out and return an ARDI damage form, within 48 hours of the guests’ departure. ARDI coverage is expressly limited to the maximum amount herein recited is expressly limited to accidentally damaged items and does not apply to missing items or injury to any person.
